HIMSS25 Recap: Harnessing AI to Automate Healthcare Workflows

AI was everywhere at HIMSS25, dominating conversations and booth displays. During his keynote address, Harold Wolf, CEO of HIMSS, noted that nearly every booth was discussing AI at this year’s conference. Yet, he cautioned that implementing AI without a well-thought-out strategy often leads to additional costs and unnecessary processes rather than real value. Many companies are eager to market AI as a fix-all solution, but few have delivered on tangible, helpful products.

The challenges of AI adoption in healthcare are reminiscent of the long-standing struggle with interoperability. “Five years ago, we were talking about the challenges of ‘Interoperability,’ and many health systems are still working to address those challenges,” said Quinn Corey, Director of Business Development, “so how is AI going to help solve the problems that so many are asking for it to solve right away?”

Without a well-defined roadmap that aligns AI deployment with existing workflows and goals, healthcare organizations risk overcomplicating operations rather than improving them. The key to success lies in integrating AI thoughtfully, ensuring it enhances productivity and reduces redundancies.

Addressing Today’s Healthcare Challenges

In addition to AI, healthcare organizations were also vocal about the other pressing challenges they face. A key concern that emerged repeatedly was the widespread lack of resources. This shortage encompasses not only staffing but financial and technological resources, making it difficult for many organizations to keep pace with growing demands. Healthcare professionals highlighted how this strain leads to burnout, delayed patient care, and the inability to fully leverage new technologies like AI.

Teams from ETHERFAX and our partner Weave Cloud Solutions conducted product demonstrations in the booth specifically designed to address these needs. “When we heard the very real challenges organizations were facing, we were able to show live demos of how our solutions can help,” said Chris Haycox, System Engineer at ETHERFAX.

The live demos provided attendees with a firsthand look at how technology can alleviate some of the most pressing issues in their organization, such as streamlining document workflows, improving security, and enhancing efficiency. “We showcased how our solutions integrate seamlessly into existing systems, making it easier for organizations to adopt and scale their operations without disruption,” added Antonietta Carboni, Enterprise Solutions Executive at ETHERFAX.

Innovative Solutions for the Healthcare Industry

Cloud-Based Faxing

Despite the ongoing push for digital transformation, fax remains an essential communication tool in healthcare. However, the traditional, on-premise fax servers that many organizations rely on are inefficient, costly, and prone to issues that disrupt workflow. “We heard time and time again that everyone is frustrated by the inefficiencies and high costs of their legacy fax servers,” said Chisholm Tucker, Enterprise Solutions Executive at ETHERFAX.

In response to these challenges, ETHERFAX offers cloud-based fax solutions that streamline and modernize faxing in the healthcare sector. By eliminating the need for costly on-premise hardware and reducing maintenance overhead, we enable organizations to achieve better operational efficiency while ensuring secure, reliable communications.

Strong Partnerships

ETHERFAX’s strong partnerships with industry leaders allow us to provide comprehensive solutions to healthcare organizations. By working closely with Lexmark, Hyland, and EPIC, as well as value-added resellers like Instant InfoSystems and Weave Cloud Solutions, we are able to integrate secure document exchange and workflow automation solutions seamlessly into existing healthcare infrastructures.

These partnerships help healthcare organizations transition from legacy systems to modern, cloud-based communications, reducing operational costs and improving efficiency. Additionally, our collaborations enable better interoperability between different healthcare platforms, ensuring smooth data exchange and compliance with industry regulations. “Our strong partnerships with Lexmark, Hyland, EPIC, and of course, our value-added resellers will play a crucial role in addressing both short-term and long-term challenges that organizations face today,” shared Jennifer Greco, Enterprise Solutions Executive at ETHERFAX.

Security

As the healthcare industry accelerates digital transformation, security also remains a top concern. ETHERFAX designs our solutions to meet the most stringent security and regulatory requirements, including HIPAA, HITRUST CSF, and SOC 2 compliance. By leveraging end-to-end encryption, ultra-secure hybrid cloud technology, and direct integrations with trusted healthcare systems, we help organizations mitigate risks associated with data breaches and cyber threats. “With the rise of AI and digital transformation, protecting patient data remains a top priority. Organizations are focusing on strengthening cybersecurity, ensuring regulatory compliance, and securing every layer of data exchange. We understand that our customers trust us to maintain the highest levels of data protection and compliance for their organizations,” stated Antonietta Carboni, Enterprise Solutions Executive at ETHERFAX.

Workflow Automation

Beyond simply sending and receiving faxes, healthcare organizations are increasingly prioritizing intelligent document processing. “Customers are now demanding more than just fax; adding intelligent document processing to a fax once it’s received is at the top of everyone’s to-do list,” added Ted Thompson, Enterprise Solutions Executive at ETHERFAX.

ETHERFAX’s AI Insights solution uses machine learning and artificial intelligence (AI) to intake and process critical healthcare documents, helping organizations reduce administrative burdens, minimize errors, and improve turnaround times. Our advanced data extraction capabilities ensure that structured and unstructured data from faxes and digital documents can be seamlessly integrated into EHR systems and other healthcare applications.

“AI is moving beyond hype into real-world applications, including diagnostics and workflow automation, driving efficiency in healthcare delivery,” said Ben Manning, Director of Product Development at Weave Cloud Solutions, our partner. Weave’s flagship product Flow, which launched at HIMSS25, offers automatic ingestion, classification, and extraction of healthcare data using intelligent document processing (IDP). Flow captures incoming documents, uses AI to classify and triage the data, extracts the key information healthcare teams need, and then routes the document to the correct system of record through seamless integrations with leading Electronic Health Record (EHR) systems. Together, ETHERFAX and Weave transfer and deliver critical healthcare documents with the intelligence organizations need.

“From streamlining workflows to optimizing secure communication, AI-driven automation reduces administrative burdens and improves efficiency. The future of healthcare is smarter, faster, and more connected,” said Paul Banco, CEO and co-founder of ETHERFAX. “We are helping our partners and customers thoughtfully and strategically implement AI tools that will have the greatest impact for their businesses.”

Overall, HIMSS25 highlighted the undeniable need for tangible, impactful solutions to the challenges facing healthcare organizations today. ETHERFAX, together with our incredible partner network, remains committed to delivering innovative tools that help healthcare organizations automate workflows, improve document management, and enhance interoperability.
